Simplifying Event Planning and Volunteer Engagement

Dialexa, an IBM Company. A leading innovative, technology consulting firm

The brief

Event planning can be overwhelming. Dialexa, a Dallas technology consultancy, faced complex event planning challenges. They relied on multiple tools like Excel spreadsheets, Slack, and emails, leading to information being lost, scattered, and difficult to manage.

This affected their volunteer events and Corporate Social Responsibility efforts, causing issues with scheduling, communication, and task management. Dialexa needed a platform for seamless and low-stress event planning. A team of 12, including me –my primary role focusing on UX research and design, developed "Together," an app to streamline event planning.

Understanding the Users

I led the research with my team, from finding participants to synthesizing the research. I conducted 7 user interviews with a range of stakeholders, volunteers, and Dialexa employees. This yielded crucial insights:


  • Variety of Opportunities: Users want a diverse range of volunteer opportunities to accommodate different interests and schedules.
  • Communication and Updates: Users value regular communication, including reminders about upcoming volunteer events and feedback mechanisms.
  • Impact Tracking: Users want to see the tangible impact of their volunteer work.
  • Recognition and Rewards: Recognizing and rewarding volunteers can motivate continued participation.
  • Event Memories: Users cherish moments spent with colleagues outside of work and want an easy way to capture and save event memories.

Design

Ideation
We brainstormed ideas by conducting a "Crazy 8s" workshop and analyzed event platforms. As we explored design ideas, we kept open communication with the client and developers for insights and perspectives.


Prototype
We transformed these ideas into low-fidelity wireframes, enabling quick testing and refinement. We focused on intuitiveness and eliminating implementation challenges discussed with developers.

We also developed a comprehensive design system to maintain consistency and scalability across the entire project, from user interface elements to visual aesthetics.


Testing
To validate our design choices and ensure clear user flows, we conducted usability studies with 12 employees using Maze, a user testing software. This feedback-driven process allowed us to refine our designs and make improvements based on real user experiences and preferences. Throughout the iterations, our designs evolved in response to user feedback and testing results.

Lasting Impact

Our platform profoundly impacted event management and participation. With an 80% decrease in time spent on managing events, it streamlines processes. A 70% increase in participation showcases its effectiveness. The platform's user-friendliness led to 50 accounts created on its launch day, highlighting its accessibility and appeal.
